Job Title: Receptionist Location: Littleton, CO Date: January 2, 2018

Position Description:

GENERAL PURPOSE

This position provides a variety of professional level secretarial, clerical, office and administrative services to AEI customers and staff in support of business objectives

DUTIES AND RESPONSIBILITIES

Serve as the first point of contact for telephone calls and clients/visitors/vendors
Receive, open and route incoming mail, deliveries and faxes
Download and save client-provided material to appropriate project file
Prepare outgoing items for UPS, FedEx, and other couriers including occasional HazMat Shipment
Responsible for daily upkeep of all corporate common areas, maintain all office and kitchen supplies, organize and maintain library
Assist with all client meetings and labs, including set-up, sign-in, preparing copies and other materials as requested
Make arrangements for internal company meetings, meeting accommodations, and corporate meals
Run corporate errands as required
Serve as back-up/overflow for company travel arrangements; maintains summary of travel schedules and detailed information for same
Accepts tasks and creates project-related deliverables such as CDs, thumb drives, and Dropbox links of photographs, video, and project documentation; produce files for expert witness discovery
Set-up and maintain new project files, organize closed project files
Maintain, update and appropriately posts corporate phone and contact lists
Maintain and track AEI’s registration on various vendor lists, performs research for same
Assist with assembly of marketing materials, shipping for conferences and events, other marketing tasks as assigned
Enter and update all client and prospect contact data and notes, in Salesforce, Outlook, and Constant Contact
Complete all scanning and proper retention of expense receipts and reports, as well as any other necessary documentation
Assist in the preparation for, and running of, corporate events as requested
Coordinate ordering and tracking for “logo wear,” including embroidery on necessary items
Perform routine office tasks necessary for the operation and presentation of a professional office
Assist with clerical tasks to include typing, filing, proofreading, and data entry
Other tasks as requested

QUALIFICATIONS
Education:
High school diploma or equivalent, some college preferred

Years of Related Experience:
3-5 years experience as an administrative assistant or similar

Knowledge/Skills/Abilities:
Knowledge of Internet Explorer, Microsoft Excel, Microsoft Outlook, Microsoft Word, Microsoft PowerPoint, QuickBooks, Salesforce, Dropbox, Constant Contact, GoToMeeting

WORKING CONDITIONS
Works in a normal and comfortable office environment

PHYSICAL DEMANDS
Sits for long periods of time while operating personal computer; occasionally drives to perform various errands; lifts boxes/items for shipping preparation and receiving purposes; occasional climbing of stairs, walking throughout office on regular basis
